Booking requests

Submitting an enquiry does not guarantee availability or create a confirmed booking. Poelano will communicate acceptance, scope, price and dates separately in writing.

Price, payment and delivery

Quoted pricing, deposit, balance, deliverables, delivery schedule and any travel charges must be stated in the individual quotation or signed booking confirmation. Do not pay an amount not specified in your accepted quotation.

40% booking deposit and 60% event-day balance

For an accepted booking, a deposit of 40% of the agreed package price is required to reserve the event date. The remaining 60% is due on the event day, before services commence, unless otherwise agreed in writing. An enquiry alone does not secure a date; Poelano will confirm acceptance and receipt of the deposit in writing. The confirmation must identify the package price, amount received, balance, event date and payment terms.

Two-day pre-event confirmation

For confirmed bookings, Poelano aims to send an event confirmation and balance reminder two calendar days before the event. This reminder is a courtesy and does not change the agreed payment due date. If an event is booked fewer than two days in advance, confirmation is handled individually.

Cancellation and postponement

Any cancellation, postponement, refund or rescheduling terms must be supplied clearly before the client accepts a booking and must comply with applicable consumer law. A reasonable cancellation charge may be deducted from the deposit where permitted by applicable law, including section 17 of the Consumer Protection Act. The deposit is not automatically forfeited in full; any amount beyond a lawful charge will be refunded. Statutory exceptions and remedies remain applicable.

Copyright and licence

For new bookings, any agreement that Poelano retains copyright in commissioned photographs and films must be expressly incorporated into the contract accepted by the client. Read the Copyright & Image Usage Policy. Personal-use licences and any commercial licence must be stated in the accepted booking documents.
